Introduction
The Finance and Administrative Assistant (FAA) will support the operational aspects of ILO’s Integrated Innovations for Sustainable Development programme under the Zanzibar Joint Programme (ZJP) and the Kigoma Joint Programme (KJP). This role is pivotal to achieving ILO’s objectives of promoting decent work and sustainable development in Zanzibar. The project focuses on enhancing production and productivity in key sectors such as food crops, seaweed, and mariculture, with a climate-sensitive approach.
Key Duties and Responsibilities
- Financial Records & Monitoring: Maintain financial records, reconcile expenditures, payments, balances, and generate reports.
- Documentation & Payments: Prepare and review documentation for contracts, clearances, and payments.
- Compliance Checks: Review financial reports from implementing partners and ensure compliance with ILO rules before submission to the Finance Unit.
- Administrative Support: Provide backstopping support to project staff and consultants regarding payments, entitlements, travel claims, etc.
- Budget Management: Assist in preparing recurring financial reports, budget analysis, and forecasts.
- Project Support: Provide logistical support in the organization of project workshops and meetings.
- Special Reports: Prepare special reports for donor reporting, budget preparation, audits, etc.
Minimum Requirements
- Education: Completion of secondary school education. Formal training in accounting, finance, or administrative fields is an asset.
- Experience: At least five years of progressively responsible financial and administrative work.
- Languages: Excellent fluency in written and spoken English, with a good working knowledge of Kiswahili.
Knowledge and Competencies
- Strong knowledge of financial and administrative rules, guidelines, and procedures.
- Analytical skills and the ability to make sound judgments.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel, Adobe Reader) and other relevant software (e.g., IRIS).
- Strong organizational skills and the ability to handle confidential information.
- Ability to communicate effectively both orally and in writing.
- Ability to work both independently and as part of a team.
