Position Title: Office Attendant
Reports to: Head of Operations
Location: Dar es Salaam
Supervises: None
Scope of Work
The Office Attendant, under the direct supervision of the Operations Manager, will be tasked with maintaining a clean, organized, and efficient work environment for WWF Tanzania’s Country Office (TCO). This role involves ensuring the cleanliness of the office premises, both internally and externally, as well as assisting with administrative tasks. Additionally, the Office Attendant will oversee minor office maintenance and coordinate with the Senior Procurement Officer for effective procurement and administration practices.
Key Responsibilities
- Facility Maintenance and Cleaning:
- Ensure thorough cleaning and tidying of all office spaces, including dusting, sweeping, mopping, and cleaning of restrooms and ceiling vents.
- Maintain order and cleanliness in meeting rooms, reception areas, and other common spaces.
- Administrative Support:
- Assist in photocopying, binding, and organizing documents as requested by staff.
- Prepare tea and arrange meals for staff when required.
- Assist in setting up for meetings and special events, including reserving rooms and arranging refreshments and equipment.
- Office Coordination and Maintenance:
- Monitor office supplies, including kitchen inventory and toiletries, and raise procurement requests for replenishment.
- Report any required repairs or maintenance for office buildings or assets to the Operations Manager.
- Support staff with internal document delivery and minor office errands.
- Customer and Reception Support:
- Occasionally back up the receptionist by answering inquiries, forwarding messages, and keeping clients informed.
- Other Duties:
- Perform additional tasks as assigned by the supervisor.
Candidate Profile
Required Qualifications:
- Minimum of an Ordinary Level Certificate of Education (“O” Level).
- Basic experience and knowledge related to office cleaning and administrative support.
- Strong interpersonal and communication skills.
Skills and Competencies:
- Excellent planning and organizational abilities.
- Ability to work in a multicultural environment and maintain strong working relationships.
- Self-motivated with the ability to work independently.
- Flexibility to work beyond standard hours when required.
- Commitment to undertaking cleaning tasks and fulfilling office errands as needed.
