Job Summary
As the Project Manager – Office Relocation, you will oversee the relocation of WFP Tanzania Country Office to the UN Common Premises in Dar es Salaam. This role includes managing technical, financial, and administrative aspects of the move, ensuring timely delivery, compliance, and effective risk mitigation.
The position requires close collaboration with internal and external stakeholders, ensuring high-quality outputs and adherence to WFP standards.
Key Responsibilities
- Project Planning & Evaluation
- Assess office relocation proposals and recommend effective solutions.
- Develop and update budgets for the relocation process, including furniture and equipment costs.
- Procurement & Coordination
- Support the preparation of procurement documentation for furniture, equipment, and security needs.
- Coordinate with UNDSS, RBJ Security, and relevant units for equipment lists and approvals.
- Space & Facility Management
- Collaborate with stakeholders to calculate space requirements and develop implementation plans.
- Ensure compliance with safety standards, construction codes, and certification requirements.
- Compliance & Risk Mitigation
- Oversee adherence to Occupational Health and Safety Standards.
- Identify potential risks and implement mitigation strategies.
- Stakeholder Engagement
- Liaise with internal units, UN agencies, and landlords to ensure a smooth transition.
- Provide regular updates to the Country Office management team.
- Documentation & Reporting
- Align data between GEMS and ARCHIBUS systems for the new location.
- Draft weekly reports and a comprehensive facilities assessment package.
- Asset Disposal
- Oversee the disposal of assets and inventory per WFP Asset Disposal policies.
Deliverables by End of Contract
- Comprehensive relocation proposal with actionable recommendations.
- Detailed budget and cost analysis.
- Approved Scope of Works and procurement documents.
- Coordinated business case and facility certification.
- Weekly progress reports and final assessment documentation.
Education & Experience
- Degree: University degree in Business/Public Administration, Engineering, Real Estate, or a related field.
- Experience: Minimum of 7 years of progressive experience in real estate management, office relocations, or related fields.
Core Competencies
- Professionalism: Expertise in administrative and budgetary processes, with strong analytical and evaluative skills.
- Communication: Excellent written and verbal communication skills, with an ability to tailor messaging to different audiences.
- Planning & Organizing: Strong ability to manage priorities, foresee risks, and efficiently allocate resources.
Language Requirement
- Fluency in English (written and spoken).
