Position Summary

Jhpiego is seeking a Program Assistant (PA) to provide administrative, logistics, finance, and office support for project operations in assigned regions. The PA will oversee office management, stores, and warehouses, ensuring smooth program operations in collaboration with the Jhpiego crosscutting team.

Key Responsibilities

  • Plan and support logistics for project activities, including venues, accommodation, and activity budgets.
  • Manage the regional office, maintaining cleanliness, functioning equipment, and professional visitor handling.
  • Organize and assist with meetings, including scheduling, preparing materials, and sharing minutes.
  • Track budgets, procurement, inventory, and payments, coordinating with crosscutting teams.
  • Arrange staff travel, including advance requests, itineraries, and vehicle usage.
  • Safeguard office and store property, ensuring proper maintenance and compliance with policies.
  • Receive, maintain, and issue supplies and commodities while keeping inventory up-to-date.
  • Administer daily staff and participant registration during activities.
  • Perform other tasks as assigned by the supervisor.

Qualifications and Requirements

  • Education: Diploma or higher in Business Administration, Office Management, Secretarial Studies, or equivalent.
  • Experience:
    • Minimum 2–3 years in a busy office environment.
    • Prior work with USAID, MOH, INGOs, or CSOs preferred.
    • Experience managing stores and medical commodities is desirable.
  • Skills:
    • Good interpersonal communication (English is an added advantage).
    • Basic accounting skills and petty cash management.
    • Proficient with MS Office and digital tools.
  • Other Requirements:
    • Comfortable working with multi-disciplinary teams and government officials.
    • Self-motivated, adaptable, and diplomatic.
    • Willing to live in Morogoro and travel up to 25% of the time.
