Job Purpose

The Procurement and Stores Assistant provides essential administrative, inventory, and operational support to the procurement unit. Reporting to the Accounts Manager, this role oversees purchase requisitions, quotation requests, supplier coordination, goods inspection, and store inventory records in strict adherence to IST’s procurement policies and audit standards.

Key Responsibilities & Accountabilities
  • Procurement Operations & Sourcing:

    • Process approved purchase requisitions, request competitive vendor quotations, and prepare official purchase orders (POs).

    • Follow up with suppliers on order statuses to ensure cost-effective, high-quality, and timely delivery of goods and services.

  • Inventory Control & Stores Management:

    • Receive, inspect, and verify incoming deliveries against delivery notes, purchase orders, and quality specifications.

    • Maintain up-to-date inventory databases, assist with periodic physical stock counts, and report damaged goods or stock discrepancies promptly.

  • Supplier Coordination & Administrative Support:

    • Liaise with vendors and internal school departments to coordinate delivery timelines and resolve routine purchasing queries.

    • Maintain complete, auditable filing systems for procurement records, supplier profiles, and financial documentation.

    • Assist in compiling regular procurement status reports while maintaining strict confidentiality of commercial information.

Candidate Qualifications & Competencies

Education & Experience:

  • Educational Background: Diploma in Procurement and Supply Chain Management, Logistics, Business Administration, or a related field (a Bachelor’s Degree is a distinct advantage).

  • Work Experience: 2 to 3 years of hands-on experience in procurement, purchasing, storekeeping, logistics, or supply management.

  • Tech Proficiency: Advanced skills in MS Office (especially Excel); prior experience working with an Enterprise Resource Planning (ERP) software or inventory tracking system is highly desirable.

  • Industry Context: Prior work experience within an international school, educational institution, or service-oriented corporate environment is an added advantage.

  • Residency: Must currently be based in Tanzania.

  • Solid working knowledge of purchasing procedures, inventory controls, and statutory procurement documentation.

  • Exceptional organizational, time-management, and multi-tasking skills under tight operational deadlines.
